Manage attendance records, absences, and corrections

Faculty with scheduling permission can manage student attendance from an event’s roster. Attendance describes what happened for one occurrence; removing a person from the roster is a separate scheduling action.

  1. Open the event from Schedule or the Dashboard.
  2. Find the student in its attendance roster.
  3. Use the edit action beside that student’s attendance details to open Edit Attendance Record. This is separate from editing the event itself.

Choose an action separately for each punch:

ActionResult
Keep existing / No changeLeave the existing value, including a missing value, unchanged.
Set timeRecord the date and time you enter. Check the time zone shown in the editor.
Clear timeRemove that punch from the current attendance record.
  1. Select the action for Clock In and Clock Out.
  2. Enter the date and time for each punch you are setting.
  3. Provide a Correction reason when changing or clearing an existing punch, then save.

A clock-in without a clock-out is valid; it remains incomplete until a clock-out is recorded. A clock-out requires a clock-in and must be later than it. To clear both punches, explicitly clear both fields. Leaving a field unchanged does not fill in a missing punch from the scheduled event time.

Actual attended duration needs both punches. A Late Departure label does not make a two-punch record incomplete. See Understanding clock-out status.

Record an absence in advance or after the event

Section titled “Record an absence in advance or after the event”
  1. Open the attendance record for the intended occurrence.
  2. Under Absence, choose Mark absent.
  3. Select Excused or Unexcused, and add a reason as needed. The absence reason is visible to the student and authorized staff; use a private Faculty Note for internal context.
  4. Save. If punches already exist, provide a correction reason and review the confirmation before replacing the current attendance with an absence.

The student remains on the roster. For a recurring event, the absence applies only to the selected occurrence. It suppresses student punch actions, clock reminders, and faculty missing-clock-in alerts for that occurrence.

To reverse an absence, reopen the record, choose Clear absence, and save. Normal punch and reminder behavior then applies again. Older absences may show an unspecified classification; staff can deliberately reclassify them.

The attendance record’s Comments & Notes area separates two audiences:

EntryWho can see it
CommentThe student and authorized staff. Use it for explanations or follow-up instructions the student should read.
Faculty noteAuthorized staff only. It is not shown to the student.

Check the audience before saving an entry. Students can read shared attendance comments but cannot add comments or replies. These entries belong to the attendance record, separately from comments on an evaluation.

The activity history records authors, times, and attendance changes. Use it to review prior punch values and correction reasons. Punch details also provide available location evidence and platform information; clock-in and clock-out may have been recorded on different devices. Older punches may have unknown platform or incomplete location information.

On the event’s attendee list and in the Attendance Report, each punch’s location pin is teal when that punch was within the location’s warning range, or when its location could not be assessed. It is amber when the student clocked in or out outside the warning range; hover over or long-press the pin to see the approximate distance. The two pins are assessed separately, so one can be amber while the other is teal. A location warning never blocks a punch.

Mark an absence when the student was expected at the occurrence but did not attend. Remove an assignment when the student should no longer be on that roster. For a Lab-linked event, manage roster changes from the Lab.

For bulk cleanup of a student’s future assignments, see Remove future assignments and archive unfinished evaluations. For how absences affect scheduled-hour totals, see Attendance reports.
