Create and share placement opportunities with education programs
Once your organization is set up as a Scheduling Partner, you can create events and offer attendee slots to education programs.
Use your organization’s Director or Administrator profile, or an Instructor profile with scheduling responsibility. A Schedule Viewer profile provides viewing access only.
1. Create the placement event
Section titled “1. Create the placement event”- Select Add → Event.
- Choose your site or campus as the location.
- Set the learning activity, start date and time, duration, and any useful description.
- Configure recurrence if the opportunity repeats.
See Scheduling an event for detailed field instructions. Check the event’s time zone, particularly when you work with programs in another region.
2. Add student slots and share them
Section titled “2. Add student slots and share them”- In People, choose Sign-ups / Assign Later or open Attendee Slots.
- Select Add Slots, choose Student, and set the quantity available.
- Enable Sharing and select the education programs allowed to use those slots.
- Select particular campuses or units if appropriate. An organization selection without specific units applies across that organization’s units.
- Add any certification-level or cohort restrictions that apply, and save the slot configuration.
Sharing is configured for each group of slots. You can offer different slots to different programs. Selecting partner programs does not automatically reserve places for people from your own organization; include it explicitly if needed.
A link to an event lets someone open it subject to their access. To offer placements, you must also configure slot sharing.
3. Set sign-up availability and save
Section titled “3. Set sign-up availability and save”Configure sign-up windows if students should only be able to take slots during particular periods. Check both the slot eligibility criteria and the sign-up windows, then save the event.
Ask a program coordinator to confirm that the shared opportunity appears for the intended organization and campus. A missing event may result from schedule filters, dates, or sharing restrictions.
4. Review students assigned to the event
Section titled “4. Review students assigned to the event”Programs can assign eligible students to shared slots. Students may sign themselves up when their permissions and the event’s eligibility and sign-up settings allow it.
Open the event to review attendees. Receiving a slot does not automatically let a program change your event’s time or other details.
5. Maintain the schedule together
Section titled “5. Maintain the schedule together”Use Editing an event when dates, times, or other details change. For a recurring event, check whether your change applies to one occurrence or the series, and review the available notification controls.
As the site organization’s scheduler, you can also manage events education programs schedule at your location. Agree with those programs on who maintains each event and how you will communicate changes.
Your organization can receive shared saved schedules as well. Staff who only need to monitor placements can follow View schedules shared with you.
