Keep Schedule Viewers informed by email
Schedule Viewers can receive schedule-change notifications and automated schedule digests. These serve different purposes and can be used together.

First authorize the viewer for the appropriate saved schedules.
Set schedule-change notification preferences
Section titled “Set schedule-change notification preferences”- Go to Settings → People → Schedule Viewers and open the person’s profile.
- Under Email Notifications, review the assignment, unassignment, update, and deletion settings.
- Set the initial preferences where the controls are available.
These preferences work with EMCE’s scheduling notification flow; they do not create a separate “send this schedule now” action.
Before the viewer claims their profile, the program responsible for the initial settings can manage these defaults. After the viewer claims their profile, they manage their notification preferences in EMCE. The profile editor explains when those controls are managed elsewhere.
Configure a recurring digest
Section titled “Configure a recurring digest”- In the viewer’s profile, find Automated Schedule Emails.
- Turn on Enabled.
- Choose an Interval: Weekly, Every 2 Weeks, or Every 4 Weeks.
- Choose the Send Day and Send Time.
- Check the displayed time zone and next-email information. Send times use that time zone, and the email’s schedule window matches the interval.
The digest includes an attendee summary and links to the public and signed-in schedule views. It is not a PDF roster attachment. The public link omits attendee names; the signed-in view provides names.
A digest can cover the viewer’s authorized schedules across multiple organizations. One organization owns the automation settings. If another program owns them, the editor identifies that program rather than allowing you to replace its settings.
Change or stop emails
Section titled “Change or stop emails”Change the interval, day, or time in Automated Schedule Emails, or turn Enabled off to stop the automation you manage. Schedule-change preferences remain separate.
To remove schedule access, change the viewer’s schedule authorizations rather than only turning off email. If a viewer reports missing information, first check which schedules are authorized and what their saved filters include.
Explain freshness to your partner
Section titled “Explain freshness to your partner”An email describes information at the time it was generated. Its schedule link opens current information. Ask the viewer to refresh a schedule page that has remained open before relying on it for an updated roster.
